Hotel Committee and ProStandards Committee Update – April 30, 2026

Fellow Pilots,

It has come to our attention that crews have been using non-company approved Ubers and Lyfts for personal use during overnights, then expensing those rides on Chrome River. Please be advised that the current CBA has no language to support rental cars or Ubers for our crews personal use. This includes use for getting food when there is none located nearby.

Unfortunately, there is also no language that requires food to be close to the booked hotel. The CBA language only states that a 3 star or greater hotel be booked. The only clause in the CBA regarding Ubers/Taxis is in regards to self-relief. If it has been 45 minutes since your release from duty, and you do not have transport to the hotel, crews are allowed to get their own taxi or Uber and then chrome river that expense. This will be reimbursed by the company.

In the past it was common for Crew Services to order crews an Uber in order to get to a restaurant on layovers. The company has since stated that is no longer an option. This also includes reimbursement on Chrome River for crews who have booked an Uber themselves. Going forward crews will not be able to request an Uber (outside of transport to and from the airport) nor will they be reimbursed for personal Uber expenses.

It is the expectation of the Company and your Union that if requiring an Uber for personal use, that employee utilize their own resources. Please do not reach out to Crew Services for personal requests.

If you have any questions please feel free reach out to either your Hotel Committee or ProStandards Committee representative.

Hotel Committee Update – April 29, 2026

Fellow Pilots,

With the continued rollout of Navan for crew bookings, we are beginning to see some issues cropping up.

The company’s previous email stated that even though Navan allows for individuals to change a booked hotel or flight, this feature is not allowed for crews, including changing a DH for a crew service approved deviation.

The only way for a DH or hotel to be changed is if Crew Services or Crew Travel initiates it. The company has begun issuing Section 18 meetings over these unapproved changes and has expressed to the committee that this will not be tolerated.

If you need further guidance on any hotel, DH or car rental issues please reach out to the committee.

New Hotel Discount Program Obtained

Fellow Pilots,

Through our continued membership in the Pilot’s Layover Network (International Hotel Committee Group), your Hotel Committee has secured a new Hyatt hotel discount plan.

This is a commuter rate primarily offered at crew‑base airport locations for pilots and flight attendants, so it is not widely advertised. That said, there are enough cities we travel to—and vacation in—as crew members that this rate should provide meaningful value. While marketed as a commuter rate, the discount may be applied to any Hyatt stay, not just commuting trips. For example, the Hyatt Place in Lake Mary near SFB is currently participating. We encourage members to try this rate when booking Hyatt properties, as availability may vary by location.

According to our Hyatt representative, this rate does qualify for World of Hyatt points. While we have not independently verified this through a completed booking, Hyatt indicated points eligibility is included.

How to use the discount:
1. Go to Hyatt.com
2. Under Special Rates, select Special Offer Code
3. Enter the code: CMUT

As always, availability and blackout dates may apply.

2026 Q1 Newsletter – Hotel Committee Update

Hotel Committee Update

To reiterate on the previous email sent out last week, your hotel committee is very happy to see the beginning of the rollout of Navan for all crewmembers’ bookings.  As stated, this will be done in sections with instructors getting the initial self-booking benefit.  Line crews will eventually be able to self-book training but that will be communicated later when that is officially available.  As for now Crew Services and Crew Travel will be using Navan to make Crew hotel and airfare bookings.  If you haven’t already done so, please download the Navan app to your personal device or your company iPad. Once you have it installed you will then set up your profile including all of your loyalty numbers. For the time being the hotel and flight information will still be on your Merlot notes (we have been told) but it will eventually only show on the Navan app. One of the benefits of using the Navan app is the presence of the digital credit card within the app itself.  Should you run into a situation where the hotel says they do not have a card on file,  (which will be much more of a rare occurrence with Navan) you will be able to pull up the credit card attached to the booking and instantly send it to the hotel.  Please watch out for further updates from the company as more functionality is added.
Rental cars continue to be a top question.  Rental cars are not guaranteed by the CBA.  If you are on a charter that has a rental car it will show up in the Navan app.  If not, then that charter does not require a rental car for the crews.  The continuing multi-day pairings for scheduled service will not include rental cars.
The company has informed the committee that the issues of rooms being cancelled for the PUJ crews with early arrivals into PUJ has been resolved and should not happen again. Please continue to reach out to the committee if you have issues in PUJ.  If you are booked into a hotel that is not in the below list and you have questions, please reach out to the committee.
Inspected PUJ Hotels
  • 4 Points Airport
  • Westin Airport
  • Live Aqua
  • Royalton/Royalton Splash
PUJ Hotels on the Do Not Book list:
  • AC by Marriot
  • Occidental
Please reach out to the committee with any other issues.

Hotel Committee Update to Navan – March 17, 2026

Greetings from your Hotel Committee,

Flight ops recently issued an email with the news about the Navan booking engine going live. Your Hotel Committee was part of the beta test on this and are extremely happy to see that it has now in use.

The Navan system will help to improve the overnights of crews through its various processes. One of the best functions of Navan is the fact that it will have the credit card stored digitally on the app. Should you get to a hotel and the front desk is unable to find a credit card attached to the reservation (which will be less likely right off the bat), you will be able to pull up the virtual card in the app as well as to be able to immediately send it to the hotel if needed.

Also, the Navan system will store all of your loyalty numbers associated with airlines, hotels and car rental agencies, and will automatically attach them to your booking. This will make it possible to use features such as “skip the line” for rental cars and digital keys at the first check-in for hotels. Please ensure you set up your profiles fully in the Navan app once you download it to utilize these features as well as to provide the required standard information for bookings.

Should you have any other questions feel free to reach out to the hotel committee:

Update from the Hotel Committee – February 2026

Allegiant Pilots,

The following is an update from your Hotel Committee.

Following our recent meeting with the Travel Department and in response to several issues observed online, we’d like to provide the pilot group with a few important updates:

Spirit Airlines Tickets

Due to ongoing uncertainty surrounding Spirit Airlines’ ability to operate its scheduled flights, the Company has decided to indefinitely prohibit all deadhead (DH) travel on Spirit. Requests for DH travel on Spirit will not be honored unless deemed absolutely operationally necessary.

Taxis Requiring Cash

We’ve received several recent reports, especially during international operations, of crews being required to pay for taxis in cash after the ride. In many cases, this has forced crews to locate an ATM, which may present safety risks depending on the location. To avoid this situation, please confirm before entering the vehicle that credit card payment is accepted.

As a reminder, per the CBA:

If no transportation is curbside within 1 hour after block-in (or 45 minutes after duty-off), the crewmember may obtain their own taxi and submit a Chrome River reimbursement.

Rental Cars

  • The CBA does not require rental cars for any situation at Allegiant, including training events, VBD/TDY assignments, or charters.
  • Rental cars may be provided on a very limited basis, primarily when a hotel shuttle is not available.
  • Assignment of rental cars is at the Company’s discretion.
  • If you do not receive a rental car during a layover, please do not contact Crew Travel or the CP’s office to request one, they will refer you back to the Hotel Committee.
  • On charter trips, you may observe that charter representatives have rental cars issued to them. This is due to the nature of their duties, which sometimes require a vehicle, even when the crew is not assigned one.

VBD DH Requests

  • For pilots on TDY or VBD, please be mindful of the monthly submission deadlines for DH travel requests.
  • If a request is not submitted by the specified deadline (or if no preference is indicated), Crew Travel will book the default scheduled DH.
  • Once booked, DH arrangements will not be changed retroactively.

Please don’t hesitate to contact the Hotel Committee [ hotel@apa2118.org ] with any questions or concerns.

Hotel & Safety Committee Message Dec 3, 2025

Fellow Pilots,

On November 25th, the US Embassy in San Jose issued a safety warning regarding increased gang activity against tourists.

The primary focus was for people staying in Airbnb type properties that were being forced to go to ATMs and take out cash. Although the hotel and transport we use for Maintenance operations in SJO is generally safe, it is important to stay vigilant when on an SJO overnight. Be aware of your surroundings and be cautious when displaying any type of money etc.

If you have any issues immediately reach out to your Hotel or Safety Committees.

In solidarity,

Hotel Committee & Safety Committee

2025 Q2 Hotel Committee Update

Rental Cars

  • No Cars on Multi-Day Trips: Trips like 3-, 4-, or 5-day pairings in bases such as FLL are not classified as TDY or charters. Per current contract language, rental cars are not provided for these pairings.
  • Hertz Becomes Primary Vendor: While Enterprise was the preferred provider, Hertz is becoming the new default rental agency due to updated agreements. Other vendors may still appear depending on availability.
  • Fuel Return Policy: Travel confirmed that rental cars may be returned at any fuel level—no need to refuel.

Uber & Lyft

  • Dangerous or substandard drivers can be banned from the corporate account. If you feel unsafe, end the ride and notify Crew Travel with the ride date.
  • Tipping is automatically included in the fare under the corporate contract—no need to tip in cash.

MX Flight Transport – San Jose

  • A recent issue with transport following an MX flight in San Jose was a one-off miscommunication.
  • Report any similar delays in SJC to the Hotel Committee for investigation.

Deadhead Travel on Other Airlines

  • Ticket Optimization: The company’s software prioritizes cost savings, which may sometimes favor non-stop flights.
  • “Basic Economy” Bookings: A few pilots received these limited-class tickets in error. Travel confirms this is not standard procedure. Contact the committee if you receive such a ticket.
  • Southwest A-List Status Match:
    • Coming soon: crews can match to A-List status for a trial period.
    • After 6 flights (personal or company-booked), status will continue for the year. Watch for a formal email from Travel.
  • DEV Code for DH Deviations:
    • Notify CS if you deviate from scheduled DH so they can apply “DEV” and ensure proper pay and ticket cancellation.

Hotel Updates

  • PUJ Overnights: Despite efforts, we’ll continue staying at Four Points. Breakfast is included—if charged, remind hotel staff.
  • BWI Improvements: New hotel inspections were completed in the Fells Point/Inner Harbor area. Travel will conduct its own in August.
  • DCA Charters: Due to client demand, inspections are scheduled for DCA-area hotels in preparation for future charter use.
  • Substandard Hotels:
    • Crews have encountered unsafe or unsanitary hotels.
    • The company prioritizes Hilton, Marriott, Hyatt, and IHG.
    • If you’re placed in a problematic hotel, contact Crew Services immediately to be rebooked.

Upcoming System Upgrade

  • The company is working to replace CTM with a new travel booking platform, expected this fall.
  • New features will include:
    • Auto-application of loyalty numbers
    • Stored travel preferences
    • Enhanced crew experience
  • A full rollout guide will be shared once the system goes live.

2025 Q1 Hotel Committee Update

Greetings from your Hotel Committee,

Last week we had our quarterly hotel meeting with travel and I want to give everyone an update on what has been going on system wide hotel and travel-wise.

1) Sunseeker Resort

The company has continued to get a commitment from Sunseeker management to give any TDY or VBD crews staying in Sunseeker a space-available upgrade to the sun suites. This will be done in seniority order for all long stay crews. Single overnight stays are not eligible for the courtesy upgrade. Keep in mind this also means you can be downgraded if the resort somehow sells out and they need the space for revenue guests.

2) PUJ Overnights for CVG and PIT crews.

As you might have seen in the company communication, in order to improve schedule reliability we have begun to run the PUJ trips out of CVG and PIT as overnights. The first crew will be DH down to PUJ the night before and operate the flight home. The second crew will operate the flight down that morning and then DH home. Currently this is showing as a DH home the following day for some reason. There are many flights out that same day as well as the chance that you could be DH on our own company aircraft if there are seats available. I do not have any commitments from travel, however I feel that this second crew would have a good chance of getting home same day in most cases.
I have tried over and over to get an all-inclusive as our primary hotel in PUJ but as we are advisory only, I have not been able to force that as of yet. Currently the primary hotel is the 4 points located 5 minutes from the airport. The pros of this property is the proximity to the airport, and the food is relatively inexpensive. The cons are it is not all inclusive and it is not on the beach. Also in the past this hotel did NOT give us Marriot points. The secondary hotel is the Westin. This is a top notch 4 star hotel and in my opinion the best hotel we stay in regularly system wide. The pros are the proximity to the airport (5 mins as well) and excellent food, as well as being on the beach itself. The cons are that it is very expensive. Unless you have decent status with Marriot in order to get free breakfast, be prepared to pay over $50 for breakfast and much higher for dinner. In the past this hotel DID give us points.
The 3rd level hotels are a mix of all-inclusive resorts I vetted but these are few and far between and I would not expect getting one of them except in rare occasions. There is one “Do Not Book” hotel that I have made Travel aware of. If you get booked into the AC by Marriot (Barcelo) please ask to be moved. In my opinion this is not a safe option as it has no external security and is located in a not so nice location.
Also mentioned in that company communication was the SNA overnights for PVU crews. As of yet I have not been told what hotel we are using there. If you end up on one of these overnights and the hotel is unacceptable please reach out to the hotel committee so we can get involved.

3) Hotel Incidentals

As a crew member you are never required to put your own credit card down in order to check into a hotel. In order to allow this the company has to state that they will cover all charges when booking the room. Occasionally you will have a desk agent tell you that all charges are covered when checking in. This is NOT the case. The company is not responsible for any charges beyond the room rate itself. If you would like to put food and drink (or anything else) you will need to provide your own card for those incidentals. If you do this, please verify at checkout that the room was put on the company card and only the incidentals were put on your personal card.

If you have any further questions or concerns please reach out to your hotel committee at hotel@apa2118.org.
